When To Book Your Wedding Florist & Other Timeline Tips

When to book your wedding florist

The question of ‘when should we book our wedding florist?’ comes with a host of associated questions alongside it. Is there any such thing as ‘too soon’ or ‘too late’, what do we already need to have in place before approaching a florist, and what happens after booking? This is your wedding florist timeline guide to demystify the process, and get you one step closer to beautiful blooms on your wedding day.

When to book your wedding florist:

It is important to note that every florist works slightly differently with regards to when they will accept bookings, but I take a flexible approach because I know your entire wedding timeline can look so many different ways. Couples enquire with me anywhere from 2 years to 8 weeks out from their weddings, but there are a few guidelines to help make this easier:

  • At Dittany Entwined I personally don’t take weddings more than two years in advance, because the price of flowers can change drastically in that time. This may result in me giving you inaccurate quotes, so a shorter timeline enables me to deliver exactly what I promised to perfection

  • Most couples book with me around 18 months to a year ahead of their wedding

  • Bookings around the 6-8 month mark are perfectly fine too, but consider that if your wedding takes place during or just after peak season sooner is better than later.

  • If your wedding is just 8-12 weeks away, you can still get in touch! I am flexible and can work to shorter timelines

Whenever your wedding is, I'm always happy to hear from you and see if we can make it work, and there are so many reasons we might need to work in a longer or shorter time frame than normal.

What do you need to have in place before booking your wedding florist?

The only things I ask you to have definitively booked are your wedding date and venue. I can’t hold date ranges, and need to know where I’ll be working before we go ahead. Everything else can come afterwards, so don’t feel that you need to have everything figured out before getting in touch.

I have couples enquiring with me who know exactly what sort of thing they want for their wedding flowers, and others who really have no idea where to begin - and everything in between. Whether you’re currently working from a scattered Pinterest board of ideas, a specific vision, or just a sense that I am the right florist for you, we’ll figure out your dream design together.

What is the process of working with a wedding florist?

Here’s how I do things at Dittany Entwined…

We’ll begin with a consultation call, which is where I delve into everything that will influence your bespoke wedding floral design. I’ll ask you about everything from your interior design style to your favourite memories together, your honeymoon destination to your favourite and least favourite flowers. We’ll really go beyond the surface and have much more than a quick chat, and I’ll present you with a moodboard so you can decide if we’re the perfect fit to create your floral magic. If you decide to go ahead, you’ll pay a 20% deposit.

Next, I’ll put together your Proposal of Dreams. I spend a lot of time on your proposal, curating them to be as detailed and visually accurate as possible. The details are important so I can give you the most accurate quote possible, and portray what is really possible in your chosen venue. Sometimes this means acquiring measurements of your venue spaces so I can accurately mock up and quote for installations and so on, and you’ll end up with a clear idea of how your wedding flowers will look and what they’ll cost.

The next stage is the design process, which looks different for different couples. Depending on your timeframe we may not start this for a few months, or if your wedding is closer and it’s my busy season I will get to work on it sooner.

At this point I may do a site visit (which we can do together if you like!), particularly if your venue is unknown to me or we’re looking at complex logistics or installation mechanics. Other times this is not necessary and I’ll do the design work first and then a site visit to ensure it all works, look at any additions you might want and visualise the finished product. Whatever your personal timeline and preferences require is what we’ll do!

Usually we’ll have a ‘final details’ meeting 3 months before your wedding, unless we’re working with a much shorter timeframe. In between the design work and the final details meeting, and the final details meeting and your wedding, you can always contact me if there’s anything you need or want to tell me. If you’re working with a wedding planner we may have other calls in between to discuss things, collaborate with other suppliers and so on.

The week before your wedding I’ll send you some sneak peeks of your flowers as they start arriving, and giving you some previews of what we’re doing. Most of my couples love this because it starts the excitement blooming!

Finally, your wedding day arrives and it’s time for us to create an immersive wonderland for you and your guests. For an idea of how your wedding day florals could look with Dittany Entwined, here are some blogs you might like:
